How do I create and maintain my Deal Room FAQ?

The Frequently asked questions section helps turn useful information from individual buyer conversations into shared knowledge for everyone evaluating your opportunity.

The Frequently asked questions section helps turn useful information from individual buyer conversations into shared knowledge for everyone evaluating your opportunity.

Your FAQ does not need to be complete when you first create or publish your listing. It can start empty, contain a few entries you add yourself, and become more useful as buyers begin asking questions.

The important idea is that the FAQ is living content. As new questions, clarifications and useful details emerge, you can continue improving it.

Why is the Deal Room FAQ useful?

Each Buyer may ask different questions.

Without a shared FAQ, you may end up answering the same questions repeatedly, while another Buyer may never think to ask an important question at all.

The FAQ collects useful clarifications in one place so that all Buyers with access to the Deal Room can benefit from what has already been learned.

Buyer conversations remain available for discussion. The FAQ does not replace them — it turns the most useful conclusions from those conversations into clear, reusable answers.

When should I create my FAQ?

You can work on the FAQ directly in your listing's Deal Room.

You can start:

  • before publishing your listing

  • while your listing is being reviewed

  • after it has been published

  • or later, once Buyers have started asking useful questions

You do not need to delay publishing because your FAQ is empty.

A perfectly reasonable starting point is an empty FAQ that gradually grows from real Buyer questions.

Add an FAQ item manually

Select Add an FAQ Item.

Enter:

Question Write the question a Buyer is likely to ask.

Answer Give a clear, factual answer based on the actual arrangements, Vendor information and supporting documents.

Select Save when finished.

You can later open an FAQ item and use Edit to change it or Delete if it is no longer useful or correct.

FAQ content should be written in English.

What belongs in the FAQ?

Good FAQ entries clarify things that help a Buyer understand what they are actually taking over.

For example:

  • what is or is not included

  • what can still be changed

  • how different services work together

  • Vendor requirements that need explanation

  • practical limitations or available options

  • questions that several Buyers are likely to ask

  • useful edge cases that are not obvious from the basic listing information

The FAQ is especially useful for interpretation and clarification. The original contracts and documents remain the source for contractual obligations, prices, dates and other formal terms.

Do not use the FAQ to invent new terms, promise something that has not been agreed, or turn an unresolved discussion into a definite answer.

If something is still unclear, clarify it in the Deal Room conversation first and update the FAQ once you have a reliable answer.

Where do payment instructions belong?

The Deal Room FAQ is shared with all approved Buyers. Do not put your receiving account details, payment links or other payment instructions into a shared FAQ answer.

Instead, use the dedicated Payment methods section of the DealRoom. Buyers can see which methods you accept, while the full instructions are provided to the relevant Buyer when payment is requested for an accepted Offer.

See How do I set and update the payment methods I accept? for the practical steps.

Generate FAQ content from Buyer conversations

As your Deal Room becomes active, you can use AI Generate.

The current tool requires at least 10 conversations before it can be used. More importantly, the conversations need to contain enough useful discussion for the AI to work with.

More meaningful conversation history generally gives the AI more material from which to identify useful questions and answers.

The AI reviews Buyer conversations across the Deal Room, not just one Buyer conversation. This allows useful information discovered with one Buyer to help other Buyers as well.

The generation is started manually by you. The FAQ is not silently rewritten in the background.

What can AI Generate do?

The AI can help identify:

  • useful recurring questions

  • answers that have become clear through discussion

  • information that would be useful to other Buyers

  • missing FAQ topics

  • existing answers that could be made clearer or more complete

It can therefore both create new FAQ suggestions and improve existing entries.

Review AI suggestions

AI-generated or AI-improved FAQ items are marked with the chat-bubble/pencil icon.

Open the item to review it.

Where the AI has proposed an improved answer, you will see AI Suggestion to improve answer.

You can then choose:

Use this AI Suggestion Accept the proposed improvement.

Discard Reject the suggestion and keep the existing FAQ content.

You can also edit the FAQ manually whenever necessary.

AI suggestions should always be reviewed before you rely on them. You remain responsible for making sure the FAQ accurately represents the opportunity.

AI can organize and summarize the discussion, but it does not decide what is true.

Run AI Generate again as the Deal Room develops

FAQ creation is not a one-time task.

We recommend using AI Generate periodically, especially after:

  • a useful new Buyer discussion

  • an important clarification

  • several Buyers ask similar questions

  • a Vendor clarifies part of their service

  • the Deal Room has accumulated substantially more useful conversation

The AI can then identify new material and also revisit existing FAQ entries to make the overall FAQ clearer and more useful.

You do not need to run it after every message. It is most useful once conversations contain enough new information worth consolidating.

Who can see the FAQ?

All approved Buyers in the Deal Room see the same shared FAQ.

A Buyer does not receive a separate private FAQ based only on their own conversation. This means useful knowledge accumulates over time: later Buyers benefit from questions and clarifications that emerged earlier.

Buyers can read the FAQ but cannot edit it.

Vendors can also see the FAQ and can raise corrections or clarifications concerning their services. If a Vendor identifies something that is wrong or misleading, update the FAQ accordingly.

The Seller remains the curator of the FAQ.

The FAQ does not replace Buyer conversations

If a Buyer cannot find an answer in the FAQ, they can still ask in the Deal Room conversation.

That is expected.

The useful pattern is:

Buyer asks → discussion clarifies the issue → useful conclusion becomes FAQ → future Buyers benefit

Over time, this makes the Deal Room more informative without forcing every new Buyer to restart the same discussions.

Keep the FAQ accurate as the opportunity evolves

Before accepting an AI suggestion or adding an answer manually, check that it agrees with:

  • the actual Vendor arrangements

  • uploaded contracts and documents

  • current payment information

  • confirmed Vendor clarifications

  • what is genuinely included in the opportunity

Do not copy speculation, unresolved negotiation or Buyer-specific assumptions into the shared FAQ.

When information changes or becomes clearer, update the FAQ.

A good FAQ should become more accurate and more useful over time, not simply longer.

What happens when a Buyer proceeds?

The Deal Room can continue evolving as different Buyers ask questions.

When a Buyer enters the Offer process, the current FAQ is captured at that entry point — before the Offer is submitted — as part of that Buyer's Deal Specification.

Later improvements to the live FAQ can therefore help later Buyers without rewriting the information already captured for an earlier Offer.
